Terms & Conditions
Please read these terms and conditions carefully before using our coliving platform. By accessing or using Nomadico's services, you agree to be bound by the following terms and conditions:

1. Definitions
1.1 "Nomadico" refers to the coliving platform operated by Nomadico Inc., including its website, booking engine, and any related services provided.
1.2 "Guest" refers to an individual who uses Nomadico's platform to book accommodations and participate in the coliving experience.
1.3 "Guest House" refers to the accommodation providers who list their properties on Nomadico's platform.
1.4 "Community Experience" refers to the services provided by Nomadico to enhance social and professional interactions among guests, including events, workshops, and networking opportunities.

2. Use of the Platform
2.1 Eligibility: You must be at least 18 years old and capable of entering into a legally binding agreement.
2.2 Account Creation: You are required to create an account with accurate details and keep it updated.
2.3 Account Security: You are responsible for maintaining the confidentiality of your login details and any activity under your account.

3. Booking and Payment
3.1 Booking: By booking through Nomadico, you agree to pay the specified fees for the selected accommodation and duration.
3.2 Payment: Nomadico acts as an intermediary for payments. You authorize Nomadico to charge the total booking amount to your chosen payment method.
3.3 Deposit & Balance:

A deposit is required at the time of booking.

For some locations, the balance must be paid by bank transfer before arrival.

Some locations may request full balance payment at least one week before check-in.

4. Cancellation & Refund Policies
4.1 Standard stays:

Cancellation more than 4 weeks before arrival → full refund of deposit.

Cancellation within 4–2 weeks before arrival → deposit non-refundable.

Cancellation less than 2 weeks before arrival → full payment required.

If a guest shortens their stay within 2 weeks of arrival → cancelled nights are fully chargeable.

If a guest arrives but leaves earlier, cancels after arrival, or is a no-show → full payment required.
4.2 Long-term stays (more than 1 month):

After check-in, guests may cancel by giving notice.

Nights beyond 1 month from the cancellation notice date will be refunded.
4.3 Refund transaction fee: Refunds are subject to a variable processing fee depending on the payment method and amount. Currency fluctuations may also affect the refund amount.
4.4 Company bookings (cancellation):

More than 60 days before arrival → full refund.

60–30 days before arrival → 50% retained.

30–14 days before arrival → 75% retained.
-
Less than 14 days before arrival → 100% retained.

4.5 Special Event Policy – Rio Carnival (February 13–21, 2026)
To ensure fair access and smooth planning during Rio’s Carnival — a period of exceptional demand — special booking and cancellation conditions apply:

For stays between February 10 and February 22, 2026 (inclusive).

Payment terms:

The full amount will be charged within one week from the day of booking, regardless of how far in advance the reservation is made.

Cancellation terms:

Cancellations made more than 4 weeks before arrival → full refund of the amount paid.

Cancellations made within 4 weeks of arrival → no refund (the full amount will be charged).

No-show or early departure:
-
Full payment will be retained.

Guests are strongly encouraged to purchase travel insurance to protect against unforeseen changes in travel plans.

This policy reflects the unique nature of Carnival, when accommodation demand is extremely high and our local partners commit resources months in advance to create an exceptional guest experience.

5. Community Experience
5.1 Nomadico curates events, workshops, and networking opportunities.
5.2 Guests are expected to respect fellow guests, staff, and the local community. Disruptive behavior may result in immediate termination without refund.
5.3 Participation in events is voluntary and at your own risk.

6. Liability
6.1 Nomadico acts solely as an intermediary between guests and guest houses. We do not own or operate the accommodations.
6.2 Nomadico is not liable for damages, losses, or expenses related to bookings or platform use.
6.3 Guests agree to indemnify Nomadico against any claims or liabilities arising from their use of the platform.

7. Intellectual Property
All intellectual property rights related to Nomadico’s platform are owned by Nomadico Inc. Guests may not reproduce or distribute Nomadico content without written consent.

8. Modifications & Termination
Nomadico may modify these terms at any time. Continued use of the platform indicates acceptance of updated terms. We may suspend or terminate access if terms are violated.

9. Room Downgrading Policy
9.1 Downgrading to a lower category room during your stay is not allowed.
9.2 If a downgrade is attempted, the original booking price still applies.
9.3 Room upgrades may be available at an additional cost.

10. Data Sharing for Arrival Facilitation
Nomadico shares booking details (name, contact, stay info) with accommodation partners to facilitate check-in. Data is handled in compliance with privacy laws and partners are contractually bound to use it only for stay facilitation.

11. Pet Policy
Pet policies vary by location. Guests must confirm pet rules before booking. Bringing a pet without prior approval may result in termination of stay. Additional charges may apply.

12. Visitor & Additional Guest Policy
12.1 If a visitor stays in the same room as a registered guest for up to 6 nights, an additional fee of 15 EUR / 15 USD per night will apply.
12.2 If a visitor stays in the same room as a registered guest for 7 nights or more, they are considered a Nomadico guest. In this case:
The two-person (couple) room rate will apply for the full period of the visitor’s stay.
The two-person rate is generally 25–30% higher than the single rate and will be calculated based on the current rate paid by the main guest.
Example: If a guest books a room for one month and a visitor stays for 10 nights in that room, the room price will be adjusted to the two-person rate for those 10 nights, and the visitor will pay the balance.
12.3 If a visitor stays in a different room, the standard room rates apply, with a minimum stay of 1 week.

13. Referral Program ("Share the Love")
13.1 Referrers can give new guests $20 off their first booking using code EXPNOMADICO, while earning $20 credit themselves.
13.2 Credits are stackable (max total discount 25%) and non-transferable.
13.3 Self-referrals are prohibited. Fraudulent activity cancels credits.
13.4 Nomadico may modify or terminate the program at any time.

14. Group Discount Program
14.1 Groups of 3 or more staying at least 1 week are eligible for discounts:

3 people → 3%

4 people → 4%

… up to 10+ people → 10%
14.2 Discounts apply only if at least half of the stay is during eligible months (as defined by Nomadico).
14.3 Discounts can be combined with other offers (max total discount 25%).
14.4 If group size falls below eligibility, discounts will be recalculated.

15. Substance Use Policy
15.1 Illegal substances are strictly prohibited.
15.2 Prescribed medication must be used in compliance with local laws.
15.3 Violations may result in immediate termination without refund and possible permanent ban.
15.4 Guests must comply with all local laws regarding drug use.
